The best sits fill in under an hour. If you're carefully reading and personalizing each application from scratch, you've already lost to someone with a system.

Here's the strategy that worked for me, and I hope it helps you too.

If you don't have any reviews yet, this strategy won't help you. You need to land your first sit first to build credibility. This guide is for sitters who already have a foundation and want to scale up to competitive sits.

The Problem: Speed vs. Quality

High-demand sits (major cities, popular destinations, easy pets) get flooded immediately. You need to:

  • Apply within minutes of posting
  • Still sound professional and specific
  • Avoid obvious template language

Solution: Pre-built template + AI assistance

Before you even think about speed, make sure your profile is strong and complete. A fast application from a weak profile still loses. Get your foundation right first.

Step 1: Set Up Your Master Template (Once)

Create one strong application structure. Save it where you can access it instantly. Here's the structure:

Hi [OWNER_NAME], My name is [YOUR_NAME] and I'd love to care for [PET_NAMES] during your trip. I'm [YOUR_SITUATION] and available for your dates. [ONE_SENTENCE_HOME_CARE] [ADDRESS_SPECIAL_REQUIREMENTS] I'm happy to do a video call at your convenience to discuss any questions you might have. Best regards, [YOUR_NAME]

Step 2: Configure AI to Fill Your Template

I use an AI assistant to extract information and populate my template in seconds.

Example AI Prompt:

Extract the following from this TrustedHousesitters listing and fill my application template: EXTRACT: - Owner's first name - Pet names (all of them) - Special requirements that need addressing (max hours away from home, specific care needs, etc.) - Any red flags: [YOUR RED FLAGS LIST] MY TEMPLATE: [paste your template] LISTING: [paste entire listing - all 3 sections from THS] If special requirements are mentioned, add a sentence confirming I can meet them. Return only the filled template, ready to send.

Example Red Flags List (Customize This):

Mine includes:

  • More than 3 pets
  • Aggressive dog warnings
  • No parking available (critical if you have a car)
  • No wifi mentioned (dealbreaker for remote work)
  • Complex medication schedules (multiple daily doses)
  • Cannot leave for more than X hours (if that doesn't work for you)

The AI will pull owner and pet names, address special requirements, flag deal-breakers, and give you a ready-to-send message.

Step 3: Configure Filters and Alerts

Set up TrustedHousesitters alerts so you get notified the moment a sit matching your criteria is posted. The faster you know about it, the faster you can apply.

Configure alerts for your preferred locations, pet types, and date ranges. Turn on push notifications on your phone so you never miss a high-demand sit. For a detailed breakdown of how I configure my alerts, check out my alert strategy guide.

The Application Process

Here's how I do it:

  1. Get alert → Open listing
  2. Copy entire listing text (all 3 sections) → Paste into AI
  3. AI returns filled template → Quick scan for accuracy
  4. Copy and send → Done

The manual work is copying the listing - everything else should be ready to go. I read the full listing AFTER I apply.

When NOT to Use Speed Mode

This fast application strategy works for most sits, but not all:

  • Complex multi-pet households: Take time to read carefully and ask questions upfront
  • Special needs pets: Medical conditions, behavioral issues, or complex routines need slower, more careful applications
  • Long-term sits (30+ days): Owners expect more detailed applications for extended stays
  • Rural or unique properties: These often have specific requirements that need addressing

Use your judgment. Speed mode is for standard sits in competitive markets.

What If You Missed Something?

After applying, I always read the full listing carefully. You're in for consideration, so there's no rush. If I notice a major requirement I missed or something that needs clarification, I send one brief follow-up (but only if truly necessary):

Hi [name], Just wanted to clarify - I see you mentioned [specific detail]. I can confirm [your relevant capability]. Best, [Your name]

The Bottom Line

High-demand sits require speed. Templates aren't unprofessional - they're necessary. AI helps you personalize at scale without sacrificing quality.

Set up your system once. Apply in seconds. Win competitive sits.

I hope it helps you land your next great sit.

Speed is strategyThe right system turns a stressful race into a simple routine.
